Virtual Events 101: Common Use Cases For Virtual Events

Some event planners just know that they want to produce a virtual event.  Others take a circuitous route to a virtual event, considering other options first.  For those of you “on the fence” – you’re interested in virtual, but not sure if a virtual event makes sense right now, read further about common use cases of virtual events.  Based on what others have already done, perhaps you’ll find a similar use case for your business need.

Corporate University, Virtually

Consider a conventional corporate training program – employees travel to the training site and receive instruction.  Training is often in the form of long and elaborate PowerPoint-based presentations, with some intra-class interaction mixed in.  Some training programs may incorporate hands-on learning (e.g. in a lab or in the field, where the company’s products are used).

Now consider virtual training or virtual university.  First, employees (and instructors) skip the flight and hotel – instead, they all participate from their office or their home.  Next, each student enters a virtual university environment, with a customized learning program created by the instructor(s).  In a virtual university (like in a virtual trade show), the attendees’ actions are tracked.  The result – heightened accountability for the students.

Sure, students are still able to view their BlackBerry or iPhone while an instructor is speaking – in virtual, however, learning effectiveness can be measured with precision.  For example: number of sessions attended, average session stay (or, “non-idle time” during the session, if the platform tracks that), number of questions asked per session, number of polling questions answered, number of “engagements” with other students, etc.

Quizzes (e.g. certification) can be given, with automated grading provided by the platform.  In addition, a variety of learning formats and learning tactics can be employed online: live presentations with “pass the baton” (students take turn as presenters), on-demand presentations, interactive games, online quizzes, user-generated content, Q&A sessions facilitated in a group chat room, etc.  Relative to a physical classroom setting, the possibilities are nearly endless, with tracking on a per student, per activity basis – powerful.

Test The Waters in a New Market

Event planners need to consider the creation of new events and new event franchises in order to generate revenue growth and explore new markets.  Consider the commitments required for a physical event vs. a virtual event.  For a physical event, you’ll need to find and secure an event site and pay a deposit to lock in your event date(s).  Then, delegates, exhibitors, presenters and the event staff make travel arrangements to the event site.  Finally, exhibitors and the event staff make arrangements to ship booths, printed paper, computers and related gear to the site.

For a virtual event, there’s a commitment (to secure the virtual event platform), but no physical site, no travel and no shipping.  In other words, the upfront cost commitment and “overhead” is significantly reduced.  This means that you’re more free to test the waters in a new market and evaluate attendee response and sponsorship sell-through rates.  If you discover that the market is not right for an event (virtual or physical), you can move on to the next opportunity.

If, instead, you determine that the market is ripe for ongoing events, you may choose to continue the virtual event – or, create a physical event around the footprint you’ve created virtually.  If you managed to create a loyal community around your virtual events (i.e. attendees are visiting the environment and engaging with others outside of scheduled events), then you have a natural outlet for promoting your corresponding physical event.

Cancellation of Physical Event

The economic downturn of 2008-2009 caused many physical events to be canceled due to budgetary factors.  Despite the cancellations, events planners were left with a mandate from management that “the show must go on” – it was not an option to cancel the annual customer conference or the sales kick-off meeting.

What resulted in 2008-2009 was a lot of virtual event innovation, stemming from savvy event planners who migrated their legacy on-site event or conference into the virtual world.  The result for these planners?  A larger and wider audience (virtually) that appreciated the opportunity to connect and interact – you can’t replace the handshake or the post-event cocktails, but connecting virtually was better than not connecting at all.

As economic conditions improve and budgets for the on-site conference come back around, event planners are not abandoning virtual to return 100% to physical.  Instead, they’re leaving the virtual component in place (in some cases, the virtual component grew into a vibrant online community) and pairing virtual with physical to create a hybrid experience.

Real Products, Virtual Launches

Microsoft made a big splash with its product launch for Windows 95 (in 1995) – the product was ushered in by the Rolling Stones’  “Start Me Up”.  These days, you’re more likely to see Microsoft produce a virtual product launch, rather than a multi-city, on-site road show.  A virtual product launch allows for effective and efficient dissemination of product information to a global audience.

Audience segments can be conveniently managed, with hosting of analysts, media, customers, prospects and partners in areas that are virtually “walled off” from one another.  This event model is analogous to “computing virtualization” – whereby logical “sub events” can ride over a single event platform.  So rather than separate analyst day, media day and partner summit meetings, your analyst relations, PR, product marketing and partner marketing organizations can leverage a single platform to engage with all of their constituents simultaneously.

Virtual Events as Listening Platforms

In my mind, we (as marketers) speak too much and listen too little.  In a challenging economic environment, it can be easier to grow existing accounts than convert new prospects.  To do so, you need to listen more to your customers and become more in tune to solving their business needs.  This is where a virtual events platform can help.

Today, we have the virtual customer conference and the virtual partner summit – those formats, however, are largely focused around “vendor to the customer” content, rather than “customer tells vendor what they need” content.  I think a “virtual focus group” should become a part of most virtual customer conferences, where the given “focus group” can be as small as a single customer to as many as 20.

Virtual event platforms can effectively provide listening tools (e.g. chat rooms, webcasts with “pass the baton”, etc.) – to enable better listening, the platforms may need to build better interpretation and analysis tools.  For instance, the ability to parse all of the chat room content, summarize the key points made and generate a sentiment rating.  Without such tools, event organizers are forced to read through reams of chat transcripts themselves.

Conclusion

Virtual Events 101: Tips For Selecting A Virtual Event Platform

Disclosure: I work for a virtual event platform vendor (InXpo).

The increase in demand for virtual events brings with it a common question: “Which virtual event platform should I select?“.  Some clients find a vendor and stick with them – others will end up doing business with all the major platform vendors.  My preference would be to find a long-term partner and stick with them, as changing vendors can be painful for all involved.

For me, selecting a virtual event platform comes down to six P’s: People, Platform, Production, Price, Process and Partners

People

While virtual events encompass a wide range of innovative technologies, we’re very much a services industry today.  This is never more true than on a client’s very first virtual event on a given platform – that first event is all about the platform vendor’s team working closely with the client to jointly achieve the client’s overall goals (and produce a great show, event or community).

In this model (in which that platform vendor handles 75-100% of the production activities), the customer experience is entirely defined by the services (and service level) provided by the vendor.  Providing an extraordinary level of customer care requires that the vendors’ company culture be built around servicing the customer – in a manner similar to how Nordstrom, Disney and Zappos have done it.

Of course, a great customer experience is ultimately delivered by individuals, which means that vendors with the right people, the right knowledge and the right experience really make a difference.  And that spans the entire spectrum, from Client Services to Development to Marketing to Finance to Legal – all departments in a company end up “touching” the customer in some way.

When considering a particular platform, I suggest you request a profile of the team (i.e. the individuals) behind the vendor’s services – and if you’re far enough in the sales pipeline, information on the specific individuals who will be assigned to your account.  Similarly, when speaking to other clients of the vendor, be sure to ask about the type of customer experience they received.

Platform

Now that we’ve covered the services piece, the underlying technology comes next.  The evolution of our industry will see a shift from 80% vendor-producing events (today) to 80% client-self-producing events in a few years.  As that shift unfolds, the industry will move away a bit from its services focus – technology then becomes a critical factor, with nothing more important that the technology to enable the self-servicing itself.

The first challenge you’ll face is that platform comparison is entirely qualitative today – there are no quantitative measurements on the technology (yet), like you have with computer hardware (e.g. megahertz, FLOPS, etc.).  While there are key quantitative metrics (e.g. %-availability, peak simultaneous users supported, etc.) – today, the claims are just that – with no independent, third party verification.

Given this, you’ll have to rely on other companies who have been clients of the platforms – try to find a company if your industry (even a competitor) who has produced an event similar in scope to your’s.  For instance, if you’re doing a virtual product launch in the pharmaceutical industry, try to find similar customer references – you’ll receive better and more direct insights than if you speak to a technology company who did a virtual sales kick-off meeting on the same platform.

I base my platform criteria around the following:

Flexibility – You want the ability to shape and mold the platform in a way that suits your unique requirements – this may include seamless integration of third party technologies or it may mean customization of features or layout that suit your unique needs.

Reliability – The platform must be available when you need it – and that includes everything from the event environment itself, to the registration system, to the reporting system, to the email system.

Scalability – The ability to scale up to tens of thousands of simultaneous users (if your event requires it).

Production

As you become a steady producer of virtual events (e.g. 1-2 events per year to start, growing to 5-10+ events per year), you’ll likely want to shift production from the vendor’s team to your’s.  In doing so, you’ll take on more control over the timing and delivery – and, save on cost (to the vendor – obviously, you need to staff appropriately to make this shift occur).

Keeping this eventual path in mind, you’ll want to select a vendor with strong “self service” capabilities.  The capabilities should allow you to create unique experiences – with the growth of virtual events, it serves you no good if your event looks identical to your competitors’ events. The platform should allow you the highest level of customization directly without custom development.

Any virtual event platform can create a highly unique experience – but if that’s accomplished via custom development, then the model is not scalable and repeatable – and you’ll end up paying the vendor dearly (on the custom development costs).

Price

As with all purchasing decisions, price is always a key factor – you likely have a budget in place (either set by yourself or your management) and ultimately, the vendor’s price needs to fit your budget.  However, pricing should be a secondary focus – first make sure you have the right vendor on people, platform, production, etc. – then, for those who “make the cut”, determine which ones fit into your budget.

If you’re willing to make an investment beyond a single event, most vendors are open to negotiating volume discounts, based on the size of your commitment.  Be sure to ask the vendor about event costs if/when you shift production to your own team.  You may be pleasantly surprised.  Lastly, think twice if your selected vendor has a price that’s significantly lower than the rest of the pack.  Sure, they may be very incented to get your business, just make sure you don’t “get what you pay for” – use those customer references to ensure the vendor can meet your key requirements capably.

Process

“Process” goes back to my first point about “People” and the production of your very first event.  It’s critical that the vendor have an established process for getting you from the starting line to the finish line – it should be based around project management best practices, while being flexible enough to adapt to unexpected developments or changes.  In fact, the vendor ought to show you a project planning template or timeline, so ask them for a sample to see their “execution lifecycle”.

In addition, give higher marks to those vendors who have successfully produced virtual events in your market – they’ll be able to take their learnings from the prior events and apply them to your’s – the process will be based on prior learnings and the vendor already has a sense for how the event execution process will unfold.

Partners

Most virtual event platform vendors provide a somewhat specialized offering: the virtual event technology (and production) itself.  The vendors then rely on a set of partner companies to fill in the gaps (e.g. A/V, streaming, experiential marketing, strategy consulting, etc.).  Do you need an “agency” to manage your overall event experience creation and execution?  Or, are you planning to do hundreds of on-site video captures and want the resulting footage streamed within your virtual event?

Determine your entire set of needs, then review the vendors for their own capabilities – along with whom they’ve partnered with.  Chances are that by combining the vendor and its partners, you’ll have a comprehensive solution to suit all of your needs.  Find out from the vendor whether all the “books” run through them (e.g. general contractor model) or whether you should make separate arrangements with the individual partners.

Conclusion

Like any other major purchasing decision, selecting a virtual event platform vendor (and partner) can be a daunting task.  A vendor with strong grades on the six P’s will serve you well.  What other selection criteria have you used?

How To Use Twitter For Virtual Event User Support

End user support for virtual events has traditionally been provided via a small number of channels: email and telephone support (which is especially useful for users having issues entering the virtual event) and “in-show support”, which is typically provided in a “help booth” within the virtual event.  With growing use of social media, however, attendees are leveraging their social network tools to request (and receive) user support.

From my observations, Twitter is the most widely used social network for virtual event support requests (today) – however, I wouldn’t be surprised to see increased “calls for help” via Facebook and LinkedIn.  This posting provides tips and best practices on providing virtual event end user support via Twitter.

Create/Establish a Twitter Account

Users can’t find you on Twitter if you’re not there, which means that if you don’t already have a presence on Twitter, you’ll need to create one.  I recommend a Twitter ID that incorporates your company name – or, the product, platform or service that you provide (if that’s different from your company name).  In addition, be transparent about the contributors (employees) who tweet on behalf of your company and brand.

Create A Real-Time Dashboard (of  tweets)

Configure your Twitter client (e.g. TweetDeck, Seesmic, etc.) with the relevant search terms and hash tags related to your virtual event.  At minimum, you’ll want to monitor the following:

  1. @Replies sent to your Twitter account (in TweetDeck, the column is labeled “Mentions”)
  2. A search on the hash tag for your virtual event
  3. A search on your company name – or, the name of your platform, product or service
  4. A search on the virtual event’s name or title

If it helps you stay more focused, delete columns that are unrelated to the virtual event – the result will be a single app that consolidates all “chatter” related to your event.  I recommend that you monitor for new tweets every 15 minutes while the event is live.

Allocate Proper Staffing & Get Started Early

In the same manner that you allocate support staff to booths, email inboxes and telephones, be sure to allocate staff to “Twitter support”.  You want to get up and running early – I recommend monitoring Twitter at least one full hour before the official opening of your virtual event.  Virtual event producers typically allow exhibitors into the environment prior to attendees – so during the “early period”, be on the look-out for tweets from exhibitors who may need assistance finding their way into their virtual booths.

Have at least one person who is “primary” for Twitter support throughout the event day.  And, know that Twitter users expect quick turnaround to their tweets.  Trend setters such as @comcastcares have provided highly responsive and immediate customer care on Twitter, which has raised the bar for everyone else.  Users on Twitter have come to expect similar care and responsiveness.

If you do not respond within 15-20 minutes of users’ original tweet, they may issue a subsequent tweet, letting the “world” (e.g. their followers + users who are following the event’s hash tag) know that they’ve received no response from the event provider.  So be sure to provide prompt service – if your customer care is prompt and effective, you’ll be rewarded.  Users are just as quick to say “thanks” (on Twitter) and acknowledge the great service you provide.

Following Up With A User

I prefer to handle support issues via 1-on-1 care.  Before you contact the user, review their Twitter profile – as background to your upcoming dialog, it’s good to know the user’s company, title and number of Twitter followers.  I like to know if the user has an audience of 100 on Twitter – or, an audience of 100,000.  In addition, read the user’s last 10-15 tweets, to get to know his/her interests, hot buttons, etc.

Now you’re ready to make contact.  I prefer to connect directly – a direct message on Twitter (if the user is following you), a direct email (if you have his/her email address) or a private chat within the virtual event (if the user is logged in at the time).  If none of these channels are available to you, send the user a public message on Twitter and provide your direct contact info (e.g. your email address).

It’s important to personalize your brand, letting users know that there are “real people” behind your corporate Twitter account – and, providing them with a direct means for getting in touch.

1-on-1 Triage

To prepare you for a “triage session” with your end user, I like the have the following information available via URLs that I can provide to the user:

  1. Technical requirements for accessing/attending the virtual event
  2. Automated system check that allows a user to test their system
  3. Frequently Asked Questions (FAQ) related to the virtual event
  4. A “contact us” page related to end user support (e.g. providing an email address, phone number, etc.)

In addition, be sure to have higher level “support experts” available in case you need to delegate a sophisticated system issue.  The experts should be available within the virtual event – or, be available “on call” to jump in as needed.

Post-Resolution

Once you’ve resolved a user’s issue, follow them on Twitter – this allows them to send you direct messages.  And, it allows you to be quickly apprised of any subsequent issues they may come across.  Later on in the day, check if the user is logged in to the virtual event – if so, send a private chat request and politely ask how the event is going.  It’s always good for users to know that you’re actively supporting the event and genuinely interested in their satisfaction.

On Twitter, respond to each and every end user “tweet” – mention that the issue is resolved and invite the user to contact you back as needed.  Be careful, however, not to include the event’s hash tag on all of these follow-up tweets.  As the virtual event platform, you do not want to have a significant presence in the hash tag’s tweetstream.  Rather, only include the hash tag if your tweet relates to system-wide updates (applicable to all or most users).

The occasional update (with the hash tag) shows users that you’re listening – and replying to every single tweet shows your followers that you are responsive to each issue that arises.

The Entire Team Contributes

If your virtual event support staff is comprised of active Twitter users, encourage them to tweet about the event – have them highlight interesting sessions, pass along comments from enthusiastic attendees or simply state that they’re having a great time.  This helps promote the event itself – and, highlights the depth of the team behind the event support.  Take it a step further and create a Twitter List of your staff – allowing interested users to follow your employees tweets via a list.

Conclusion

The world is going social, which means that user support and customer service need to be “socially listening” (and responding).  Get ahead of the curve – be sure to support your next virtual event on Twitter.

The Future Of Virtual Events

There’s no time like the present … to think about the future.  I previously wrote about predictions for the virtual event industry in 2010 – those predictions were based around a short-term outlook and have a reasonable chance of coming true.  Now, I’d like to weigh in on 2011 (and beyond) and discuss where the industry (and the technology behind it) may be heading.

Virtual Event technology moves “closer” to the end user

To spur increased adoption, the virtual event experience will move closer to the end user.  To move closer, the browser-based experience of today will be complemented by numerous apps that live outside of the browser.  A relevant analogy is Twitter, which could not have achieved its place in the world on twitter.com alone – its power is broadened with desktop clients such as TweetDeck and Seesmic.  Possibilities include:

  1. Browser toolbars that encapsulate a subset of virtual event functionality (OK, we’re still within a browser here – so consider this an initial step only).
  2. Desktop applications – initially, these apps may provide a real-time dashboard for attendees, exhibitor or show hosts.  You’ll get to keep tabs on activity within a virtual event without having to be logged into the event (from your browser).  Subsequently, the apps will become more sophisticated and take on more of the virtual event platform’s features.
  3. Asynchronous alerting services – attendees, exhibitors and show hosts will be able to configure alerts that inform them of important activities.  The alerts will have numerous transport mechanisms – email, SMS text message or social media notification (e.g. a direct message on Twitter).

Virtual Events Go Mobile

Related to “getting closer” to the end user, mobile is the “elephant in the room” for virtual events.  The mobile apps will start off quite simple – think again of the dashboard app, which provides a real-time view of what’s going on within the event.

Building onto the dashboard will be basic interactivity (e.g. text chat) – allowing attendees and exhibitors the ability to chat with others.  An exhibitor, for instance, can now staff her booth “on the go” from her iPhone.

As we look to 2011 and beyond, I see a clear shift in the computing landscape, whereby more and more “computing” moves from the desktop and laptop and on to mobile devices.  In this decade, the smartphone becomes the PC of the past decade.

The challenge for virtual event platform providers is to determine where to place their bets (investments) across iPhone, Android, BlackBerry, Symbian, Windows Mobile and Palm.

Tighter Integration Inside The Firewall

Virtual events see major adoption from multinational corporations, who leverage the events for internal-facing communication and collaboration (e.g. sales kick-off meetings, human resources programs, learning programs, executive briefings, team/departmental meetings, etc.).  Corporations will begin to request the following:

  1. Integration with other enterprise applications (which often sit inside the firewall)
  2. Tighter security measures

This drive from corporations will cause virtual event technology to morph a bit, shifting from a 100% software as a service (SaaS) model to a hybrid model that combines SaaS with on-premise software.

At first, integration points to a company’s enterprise apps may reside “on premise” on corporate servers – subsequently, corporations may require the underlying virtual event platform be hosted inside the firewall – a model that mirrors Linden Lab and their Second Life Enterprise.

Augmented Virtuality

Virtual events and in-person events meet augmented reality – resulting in “augmented virtuality”.  I previously wrote that 2010 is The Year of The Hybrid Event.  There will come a day when every in-person event has a virtual component.  With existing smartphone technology and the emergence of augmented reality – we’ll soon hit a sweet spot whereby in-person event attendees will wield enormous power in the palm of their hands.

Physical event attendees will begin to experience an event through the lens of their smartphone – holding up the smartphone at any location and seeing overlays of relevant information.

Augmented virtuality will blend augmented reality with the virtual event platform – elements of the virtual event appear as overlays on the smartphone (e.g. the virtual booth is layered on top of the smartphone’s view of the physical booth – and virtual staffers are displayed as being available [via the smarthphone] if the in-person staffers are busy).

Bye Bye, “Virtual Events”

Based on the trends I’ve outlined, by 2011 (if not sooner), we’ll no longer refer to “virtual events”.  Instead, they’ll have “grown up” and migrated into a broader category of business or collaboration application.  Virtual event technology becomes a toolset in a larger ecosystem – or, they’re integrated into a broader suite of tools (rather than being a standalone solution).

Conclusions

In a few years, these will no longer be your mother’s virtual events!  The industry and technology will change, morph and adapt to suit the needs of the market.  Let’s all be thankful that we’re along for the ride.

How Virtual Events Can Adopt Location Based Services

These days, it seems the social web is like real estate – it’s all about location, location, location.  Foursquare, Gowalla and Loopt are gaining popularity as location based, mobile social services.  Yelp has rolled out Yelp Check-ins, which mirror a popular activity on the aforementioned services.  Twitter added location awareness to its API in 2009.  Facebook, some speculate, may enter the fray with their own location based services.

So how would it be possible to enable Location Based Services in a virtual event?  Well, consider that location tracking is inherent to the virtual event platform – in other words, it has a built-in GPS for all users!  I wrote previously about gaming in virtual events – that gaming can generate  retention, engagement, enjoyment and loyalty.  Location Based Services, in the form of competition and gaming, can achieve all of these benefits.  Let’s take a look at how.

It Starts With The Buddy List

Users first need to build their social graph.  This can be accomplished with a virtual event platform’s “buddy list” feature – all users in your buddy list would receive status notifications from the location system.  The notifications would be sent to users within the virtual event (if you’re logged in).  Once you log out, you can opt to receive status notifications via email.  This way, even if you’re no longer in the event, you can receive updates (via email) on what your buddies are up to.

Build A Reward System

Next, a reward system serves as an incentive for users to participate.  The concept is similar to the becoming “mayor” of a location on Foursquare.  In a virtual event, perhaps you allow privileged users (who have achieved a certain status) to obtain a badge – whereby the badge can superimposed on their avatar image – or, listed on their profile page.  In addition to the badge system, a master leaderboard (and perhaps segmented leaderboards) should be utilized, allowing users to track their performance relative to other users.

The Virtual Trade Show

First, the notion of a social graph in a virtual trade show may be an upfront challenge.  At most trade shows, you may know a handful of colleagues or associates who are also attending – but for the most part, everyone else is a stranger (to start).  Thus, a system may need to be in place first to encourage users to add other users to their buddy list.

Assuming you can achieve decent-sized buddy lists, then the “check-in” becomes quite relevant in a virtual trade show.  Each visit that I make to an event area can be tracked (by the platform) as a check-in – allowing my buddies to know what areas I visited – and, where I am right now.  Secondly, I might leave a review or comment about a particular area – perhaps I enjoyed the content in an exhibitor’s booth – or, I didn’t find a Webcast to be all that useful.  When my buddies enter those same areas, they can then view the comments I left them from my prior check-ins.  Thus, when a buddy enters the same exhibitor booth, she knows that I visited earlier and enjoyed the content there.

Exhibitors could then sponsor areas of the event (besides their own booth) – the Lounge, Auditorium, Resource Center, etc.  Then, attendees can vie to become the “mayor” of a given area.  At the end of the live event, perhaps the mayor of the Lounge receives a prize that’s awarded by the Lounge’s sponsor – and to receive the prize, agrees to have a short conversation with that sponsor.  Already, you can begin to see how this location “app” can generate additional activity and engagement.

The Virtual Sales Conference

In a virtual sales conference (and related corporate events), attendees naturally have a large list of potential buddies – the trick is to incent the attendees to populate that list within the virtual event.  Alternatively, management may choose to pre-select the buddy lists by organizing the sales force into teams – whereby your buddy list is pre-seeded with your fellow team members.  The location app is all about checking in (with each other) and sharing information towards gaining points for your team.  In this manner, the location app helps encourage learning and collaboration, making the virtual sales conference more effective.

Social Networks

For certain types of events (e.g. virtual trade shows), integrating the location system with users’ social networks can be powerful.  For instance, a check-in to the keynote presentation can auto-generate a tweet out to the attendee’s Twitter followers – providing a registration link to the event.  Similarly, a check-in at an exhibitor’s booth may prompt the user whether she wants to post an update to her Facebook wall.  In summary, the location service should facilitate sharing not just within the virtual event, but to external social networks as well.

Prevent Gaming (of the System)

The virtual events platform will need to carefully build the measurement and scoring methodologies to ensure that the “game is not gamed”.  In the real world, there is overhead involved in becoming the mayor of a watering hole – in the virtual world, clicking 50 times to enter an exhibitor’s booth is quite easy.  The scoring system ought to consider rate limits, as well as threshold values around selected activities.  Additionally, becoming “mayor” should factor in actions that are not as “game-able” as mouse clicks or visits.

Conclusion

There’s  probably a lot of work to enable the underlying platform to accomplish this – however, such a system can go a long way to achieving retention, engagement, enjoyment and loyalty.

The Virtual Unconference

According to the web site Unconference.net, an unconference is “a facilitated participant-driven face-to-face conference around a theme or purpose”.  The basic concept of an unconference is to throw out all notions of your conventional conference – instead of a central planning figure, a pre-planned agenda and a set of presenters/speakers, the unconference has no meeting planner and no set agenda – and the content of the conference is driven solely by the attendees.

In fact, one of the key moments of the unconference is the setting of the session topics.  Attendees with ideas for session content grab markers and write their ideas on sheets of paper.  The papers are then taped against a large grid, which denotes the location and time of the given session.  For further details, Unconference.net has a great article titled “Facilitating unconference agenda creation Step-by-Step“.

With virtual events increasingly complementing face-to-face events, it’s only natural to ask whether an unconference can occur virtually.  My short answer – virtual event platforms need some tailoring and customization to effectively support the virtual unconference.  Let’s consider the pros and cons of virtual event platforms.

Pro: Self Service Capabilities

Naturally, a virtual unconference requires a virtual event platform with self service capabilities.  The self service tools need to be placed in the hands of the attendees, so that they can set up meeting rooms and presentations.  A self-service webcasting/broadcasting tool is a must, so that an attendee who wants to jump right into a presentation or talk can do so with little to no set-up overhead.

The virtual event platform will need to provide the right tool for the job, however – it should support the broadcast of audio (and video, if desired) and allow two-way participation from the audience – they should be able to ask questions and have the ability to annotate a shared virtual whiteboard.  Since attendees do not arrive at the unconference with prepared PowerPoint presentations, the tool should also support desktop sharing (of the presenter’s desktop), with seamless passing of control to other attendees (and back).

Pro: Efficiency of (Virtual) Collaboration

Previously, I wrote about the advantages of virtual meetings – whereby certain types of collaboration are more efficient online vs. in-person.  For instance, annotating a shared document or diagram is easy to do with 1-2 active participants (in person), but gets trickier with a higher number of participants.  In a virtual whiteboard, many contributors can be collaborating on the space at once, as long as they’re not overwriting each other or stepping on (virtual) toes.

In addition, I’ve found the dynamics of text-based group chat to be interesting, especially during a high volume of chatter, with multiple voices contributing at once.  Imagine the heated conference call where everyone has something to say – if done in a text-based group chat, you often find less chaos and more efficiency.  Text-based group chat could be a nice complement to the session and an important component of the virtual unconference.

Pro: Navigation

Unconferences are all about free movement from one session to another.  If the session you selected is not right for you, get up and leave during the first 5 minutes – neither the attendees nor the speaker mind.  In a virtual unconference, finding the right session becomes even easier, since one can navigate to the next session without walking down the hall.  In this manner, you’re nearly guaranteed to find a session that’s right for you – simply click around until there’s a good fit.

Con: Virtual Agenda Creation

With today’s virtual event platforms, it’s challenging to re-create the agenda creation process, with its scrawling of proposed session topics and placement on the shared grid (wall).  I suppose the agenda creation could be handled via group chat, but that may take a while and is not efficient as the master grid.  Another possibility is the use of Google Wave, although the output of the wave will need to be imported back into the virtual events platform.

In the end, I think that an app would need to be created that specializes in the unique agenda creation process – the sheets of paper would take shape online and be placed onto a virtual grid.  Attendees could then click and drag to move sheets around on the grid or delete sheets altogether.  When final, the grid could then auto-populate the event’s Auditorium listing and allow attendees to conveniently navigate to their sessions of choice.

Con: Spontaneity (structured vs. unstructured)

Today’s virtual event platforms utilize a structured model behind the events they create – unconferences, on the other hand throw structure out the window and breed spontaneity.  For instance, if one particular group decided they wanted to move their session to the local Starbucks, that would be completely fine.  In a virtual event, the same sort of spontaneous decision is harder to fulfill.

Virtual event platforms can reach a similar level of spontaneity via self service tools – however, a balance needs to be reached so that the attendee creating the virtual coffee shop doesn’t take down the entire virtual event.  The virtual unconference may need to grant administrator rights to a small subset of attendees who have responsibility for overall virtual event production.

Conclusion

The notion of a virtual unconference makes a lot of sense to me – virtual event platform providers may have some work to do first.  And, similar to the in-person unconference, a business model will need to be established to subsidize the virtual event platform costs.

2010 Predictions For Virtual Events

Back in August, I jumped the gun a bit and wrote a “year in review” posting about virtual events.  Now that we’re in December,  I think it’s high time to peer into the Magic 8 Ball and speculate on what’s in store for the virtual events industry in 2010.  Away we go…

Widescale adoption and integration of video conferencing

Virtual events have incorporated a lot of on-demand and live video – however, to date, the majority of attendee interaction has been via text (e.g. private text chat, group text chat, etc.).  Many platforms have enabled the use of attendee webcams (a la Skype) and that was a nice start.  In 2010, I believe that the virtual event platforms will integrate with third party video conferencing technologies in a big way – stirred largely by client demand for it.

Think about it – multinational corporations have adopted high-end video conferencing to encourage collaboration and save on travel costs.  They have the budget to invest in Cisco Telepresence or HP Halo.  As those same corporations look to adopt virtual events (e.g. for an annual virtual sales meeting), it’s only natural that they incorporate the video conferencing technology that they already have running.

To capture mid-market and small business interest, virtual event platforms will look to integrate with mid-tier video conferencing systems, such as Tandberg (whose acquisition by Cisco is pending) and Polycom.

Another interesting player is LifeSize Communications, an Austin-based provider of “mainstream telepresence” that was acquired by Logitech in November.  LifeSize recently launched an offering called Passport, which they term “a portable telepresence-quality system” that fits in the palm of your hand.

I see continued use of consumer-grade webcam technology in 2010 virtual events  – however, the game changer will be the incorporation of multi-party, HD video conferencing.

Emergence of global players

We’ve already seen the emergence in Europe of virtual event platforms – IMASTE in Spain and Ubivent in Germany.  I expect to see another European-based platform emerge in 2010, along with one or more in Asia Pac.  In addition, we’ll see services companies launch to capitalize on the demand (for virtual events) from publishers, corporations and event marketers.  The companies will provide both strategic and logistical services around virtual events.  You’ll see some start-up companies and you’ll also see physical event marketers spawn service offerings around virtual (or more logically, hybrid) events.

Industry consolidation

We’ll see the merging or acquiring of virtual event platform companies.  Some providers will look to acquire/merge out of platform capability gaps – while stronger players will look to complementary/synergistic technologies offered by the competition.  As the economic environment comes back around, companies (and their investors) will be more apt to combine forces to fuel the next phase of growth.  Lastly, larger and more established players in the “collaboration space” may look to acquire virtual event platform companies, to add a complementary piece to their product portfolio.

Decrease in “relative response rates”

Virtual events had a great run in 2009, but we’re now past the novelty, “wow, this is cool” phase.  In the B2B market, we now have plenty of users who have attended two or more virtual events.  If virtual event show hosts continue to use the same graphical templates, organize the same presentation agenda and re-create an identical experience to their last event, then “relative response rates” will drop – meaning, it will become harder and harder to recruit users to register and attend.

Decreased response rates are natural as any new “content type” grows beyond infancy – and the supply/demand ratio begins to tilt towards having more supply than demand (e.g. lots of virtual events).  Virtual event show hosts will need to consider the incorporation of gaming, the creation of affinity programs and more.  The solution to decreased response rates will be fun to watch – innovators will step to the table to find creative ways to engage and attract virtual event attendees.

Platforms take first step towards immersiveness

While virtual event attendees may not “require” the immersiveness of Second Life and other 3D virtual worlds – immersive capabilities provide real value in a B2B setting.  The most obvious use case is an immersive rendering of a complex product – consider the high-end video conferencing system, the high-end router, the latest luxury car model.  Instead of a 2D PowerPoint slide that highlights the capabilities of the video conferencing system, how about an immersive experience where attendees (aka prospects) get to experience the system and interact with it?

Client interest and demand will drive some platforms to add immersive capabilities in 2010.  I don’t expect a software download, however – it would serve platforms well to support the immersive experience within their existing framework (e.g. Flash, JavaFX, Silverlight).

In 2009, Twitter has taken the world by storm – in fact, it wouldn’t surprise me if Time magazine named Twitter their Person of the Year.  In my opinion, Twitter’s success hinges on its simplicity, celebrity (use by celebrities, that is) and portability (users stay connected to the service from nearly anywhere).

While virtual events have been around for a few years – they too took the world by storm in 2009 – mostly, the business-to-business world.  As we look forward into 2010, here’s what virtual events can learn from Twitter:

  1. 140 characters or less – I often find it a challenge to condense my thought into 140 characters – the usual trick is to lean on acronyms (or abridged versions of words) to get under the limit.  The better approach is to be more efficient, using less words to make the same point.  While I still get frustrated at times (having to distill my thought down to 140 characters) – other times, I find that my message comes across clearer and more elegant in the shorter form.  In virutal events, a lot of chatter (e.g. group chat in the Lounge) is long-winded.  It would be interesting to participate in a group chat in which each chat message was limited to 140 characters.  I get the feeling that the chat would be much more enjoyable and productive.
  2. Application Programming Interface (API) – Twitter was recently valued at $1B – it couldn’t have possibly reached that valuation without it’s excellent API and the rich ecosystem that’s been created by developers and start-ups.  The API has made possible desktop clients such as Tweetdeck and Seesmic Desktop, along with numerous third party services, such as Tweetbeep, Twimailer and many more.  Virtual event platform providers should look to “open up” their platform via API’s – allowing show hosts and exhibitors to tap into underlying registration data; customize the look and feel of their events; and develop functional mini-apps that ride on top of the platform.  As Twitter discovered, opening up the platform creates a “wealth” of opportunity.
  3. Mobile support – Twitter’s API allow for applications like TwitterBerry (for BlackBerry) and Tweetie (for iPhone).  Users are increasingly on the go these days – whereby less and less interaction with the web occurs from their desk and keyboard.  Virtual event platforms that can extend their reach to smartphones will stand to benefit greatly – adoption will increase, as will average session time and overall session counts.  Twitter also integrates with the Short Messaging Service (SMS) – making access nearly universal (e.g. from non-smartphone cell phones).  Perhaps there are capabilities in a virtual event that can also be triggered via “commands” transmitted via SMS.
  4. Connecting with others – Twitter’s growth in 2009 has resulted from (a) needing to connect with your friends, family and colleagues who are already on the service and (b) a desire to “follow” celebrities or sports figures.  In business-to-business virtual events, you won’t have this same sort of dynamic (wanting to follow others) – however, the platforms can do a better job of finding and recommending folks you should be following or connected to.  For instance, a CIO at a small-and-medium sized business (SMB) may want to know that a CIO from another SMB company is also in attendance.
  5. Self service / self starter – Many companies are now active on Twitter, to provide customer outreach, customer service, outbound marketing and even e-commerce sales.  Other than learning the basics of social media and Twitter etiquette, the process to get started with Twitter is very straightforward.  Virtual event platform providers ought to provide a means for curious/inquisitive users to set themselves up with a test event – some day, configuring your virtual event (a basic one, at least) should be analogous to creating a new blog in WordPress.

And there you have it – adopt these five principles and your virtual event platform may some day be worth $1B as well!


Virtual Events: Available In Many Flavors

In my Virtual Events Year In Review: 2009, I summarized key trends that I witnessed in the virtual events industry this year.  The trends for 2009 included global adoption, emergence of new industries (as virtual event show hosts), emergence of hybrid (virtual/physical) events, the shift to ongoing communities and the shift to multi-day events.  There was one trend I neglected to include – and it may be the number one trend for 2009: virtual events in many flavors (aka virtual events take on many shapes and sizes).

Virtual tradeshows still constitute the majority of virtual events in 2009 – however, new flavors emerged (or generated strong growth) in 2009.  Here’s how they’re different from virtual tradeshows:

  1. Virtual Job Fairs – first off, virtual job fairs are quite similar to virtual tradeshows, especially in structure.  There are exhibitor booths, lounges, presentations (live Webcasts or live Video), prize giveaways, a document Resource Center, etc.  Here’s a big difference with the job fair, however – attendees pursue the exhibitors more than the exhibitors pursue the attendees.  The virtual job fair brings a rather engaged attendee, who’s more keen to visit booths and interact with exhibitors (hiring companies) than typical virtual tradeshows.  Hosts of virtual job fairs will want to work with their virtual event platform provider to create unique tools/applications within the show – for instance, a resume wizard (builder), resume submission tools, attendee<->exhibitor match-making (i.e. find the right job for you – find the right candidate for the hiring company), etc.
  2. Virtual Sales Kickoff – that’s right, the annual sales meeting (for some companies) is moving 100% virtual.  Michael Doyle of Virtual Edge published an interesting article on Cisco’s Global Sales Experience.  For most companies, the goal of an annual sales meeting is to bring the entire salesforce together, reflect back on the past year (acknowledging and rewarding sales reps for their efforts) and talk about the year ahead (set priorities and goals).  Similar to a virtual tradeshow, education (e.g. live sessions) is a focus for this type of event.  Unlike a virtual tradeshow, however, there’s less pitching and selling (from exhibitors to attendees) and the need to network (e.g. find new contacts) is lessened.  It’s incumbent on show hosts to make the virtual sales meeting fun and engaging, as attendees are used to going out for dinner, drinks and parties after physical sales meetings.  Virtual cocktails don’t work too well, so be sure to make the virtual experience memorable and fun.
  3. Virtual Partner Summits – a virtual event platform makes perfect sense for a b-to-b vendor’s partner / reseller network – gather the network of partners virtually, give them the training and tools on your products and services and allow them to network with one another.  You improve relations between you and your partners – and, you encourage resellers to partner together to create joint solutions for the market.  Cisco Virtual Partner Summit ran concurrently with a Boston-based physical Partner Summit (June 2009).  Oracle has similar plans for a virtual partner summit.  PartnerPoint has created a 24×7 virtual community “to help connect Microsoft Customers with qualified Microsoft  Partners from around the globe”.  While virtual tradeshows tend to be “lead focused”, virtual partner summits revolve around networking among exhibitors [peers] – they’re unique in that the exhibitors and attendees are one and the same.

My prediction for 2010 – these three flavors will gain further adoption.  Virtual tradeshows will still carry the majority – however, we’ll be seeing more and more off these flavors, in the following order:

  1. Virtual Sales Kick-off
  2. Virtual Partner Summit
  3. Virtual Job Fair

Virtual And Social Technologies: A Perfect Fit

Jeremiah Owyang has an interesting posting on his Web Strategy blog titled “Web Strategy: How To Integrate Social Technologies with Virtual Events“.  Jeremiah notes that the integration of social technologies should apply to both virtual and physical events – by way of these principles:

To be successful, virtual –and real world– event planners must abide by the following principles:
1. Events should integrate with existing communities and social networks where they exist.
2. Events should have a strategy that includes the before and after –not just during.
3. The audience can assert control over the event, so encourage audience participation and know when to get out of the way.

I’m a big fan of social networks – today, my primary networks are Twitter, Facebook and Linkedin.  That being said, I’ve considered today’s social networks to be a Version 1.0 of Web 2.0.  Now that social networks have built a critical mass of audience/community, I think that some key technologies can advance us to Version 2.0 of Web 2.0.  Some examples:

  1. Presence Indication – While Jeremiah blogs that email was the first social network, I think of instant messaging as the dawn of social networking.  So all the way back in the mid 90’s, we had a technology to allow us to connect with friends, family and colleagues – and, provide presence indication.  I knew if my mom, colleague or best friend was online – and if they were online, they could indicate to me whether they were available or “Away from my desk”.  While some social network sites include in-page presence indication (including Facebook, with its Facebook Chat), I’m surprised that presence indication (and chat) have not been more tightly integrated into the core service of social networks.  If I’m running a social network site, but my users are using AOL IM or Skype for presence indication and text/webcam chat, then I’d want to build better presence/chat tools into my core platform.  Or, integrate existing technology, so that my users launch their IM client within my service.
  2. Personalized Spaces – Facebook has done a great job in allowing me to post pictures, videos, links, status updates, etc.  What about blending the existing technologies/applications within Facebook with virtual world technologies to create a virtual room (for personal use) or a virtual office (for b-to-b use).  Vivaty is thinking along these lines, as they’ve integrated their 3D virtal world technology into Facebook.  So within Facebook, I can build a personalized room with Vivaty and invite my friends (or colleagues) to visit and interact with the objects I’ve placed in that room (e.g. perhaps a link to a movie review).
  3. Profile Matchmaking to Extend Your Network – Virtual Event technologies have their roots in b-to-b use, in which virtual event show hosts tend to collect a deep registration profile on attendees.  This provides data points that allow the virtual event platform to recommend  like-minded attendees (who have similar profiles).  For personal use of social networks, matchmaking may not be relevant – you know whom your friends and family are and you’re probably not inclined to go find new friends (with the exception of a social site for online dating).  In a b-to-b setting, however (e.g. Linkedin), profile matching can be very powerful, as it allows you the potential to extend your network.  B-to-b networking sites that combine presence with matchmaking can create a powerful combination – imagine that I find like-minded people.  Instead of pressuring them to accept me as a connection, I can chat with them (based on presence indication) and introduce myself.  Later, both parties may be comfortable enough to become connections within that social network.
